Our Commitment to PrivacyLyndon Security is committed to maintaining the privacy and security of client’s, employees and applicants. In 2004 the Canadian Federal Personal Information Protection and Electronic Documents Act (PIPEDA) was extended to provincially regulated organizations that collect, use and disclose personal information in the course of commercial activity. As such, Lyndon has developed the following Privacy Policy in order to ensure compliance with PIPEDA, as well as to inform individuals of our continuing commitment to the protection of their personal information. What is Personal Information?Personal Information includes any factual or subjective information, recorded or not, about an identifiable individual. Examples include information in any form such as a resume, personal email address, your health, credit card numbers, and home addresses to name a few. It does not include information normally found on a business card, such as name, title, company, business address, business e-mail address, and business telephone or fax number. What Personal Information Do We Collect?The amount of personal information requested is that which is normally associated with employmentand that which is necessary to supply our services to employees and our clients. In general personal information includes name, address, work experience, education and skills and other sensitive information necessary to process payroll and administer health benefits. Also because of the nature of our business in certain cases a police background check is mandatory to meet provincial licensing requirements and or contractual prerequisites. How Does An Individual Provide Consent?PIPEDA legislation requires that individuals must provide consent for collection retention and sharing of personal information. This consent may be provided orally, in writing or implied. As a Lyndon employee your consent is implied and we will continue to use the information you previously provided to us for the purposes outlined in this policy. Similarly if you have provided personal information about others (eg:dependants) we assume you that you have obtained their consent for the same purposes. For new employees voluntary submission of a Lyndon application or personal resume shall also be treated as consent. Additional information of a more sensitive nature (health, medical, financial, police clearance) may require stronger demonstration of consent. How Long Do We Retain Personal Information?Retention of personal data collected from you will only be retained for as long as is required to fulfill the purposes stated within this policy, and to meet all requirements by law. Whom We Share It With?Lyndon holds its employees and suppliers accountable for maintaining the trust our employees, clients and applicants, place in us. We provide only information to clients and suppliers that is necessary to provide our services. We disclose personal information when required by law. We do not sell or trade personal information to third parties. Lyndon may also collect and report demographic data, (e.g. what percentage of Lyndon staff are college graduates) to our clients, other companies or as required by law. If we collect and report demographic information we remove any personally identifiable information that would attach an individual to this demographic data. Accuracy and AccessLyndon will take all appropriate steps to ensure personal information is complete, accurate and current. Individuals have the right to access their own personal information and to a right to know if their information has been disclosed to any third party. If individuals wish to access their information, they need to contact Lyndon in writing to the attention of the Lyndon Privacy Officer as noted below. Lyndon reserves the right to charge a reasonable fee for the copying of this information. If the Lyndon Privacy Officer is unable to resolve the concern, or if there are further complaints, individuals may contact the Privacy Commissioner ofCanada. Security of InformationAt Lyndon we take care to secure personal information given to us by our customers, applicants, and employees. Information collected may be stored in manual or electronic systems with limited access in order to protect this information from loss, misuse, unauthorized access, disclosure, or destruction. We protect this personal information through various security practices and measures including locked cabinets, electronic firewalls and limited staff access. |
